1. Application Fees for Admission Forms
- All online application fees, including the application form fee, convenience fee, and applicable taxes, are non-refundable once the application form is successfully submitted.
- Applicants are responsible for ensuring that the application is complete and accurate before submission.
2. Payment Gateway Errors
- In the event of a payment gateway error (e.g., the amount is debited but not received by Vidyalo), a refund will be processed within 45 days, subject to confirmation from the applicant’s bank or payment service provider.
3. Non-Refundable Scenarios
Refunds will not be issued in the following situations, as they are outside Vidyalo ’s control:
- Duplicate payment for the same candidate, class, and school (whether from the same or different accounts).
- Application submitted for the wrong class, wrong school, or wrong stream.
- Incorrect or incomplete data submitted (e.g., wrong name, date of birth, email ID).
- Change of mind or dissatisfaction with school standards after submission.
- Inability to bear school fees or decision to discontinue schooling after submission.
- Admission already secured elsewhere.
4. Processing & Service Fees
- Any portion of the application fee that relates to Vidyalo’s processing, platform, or convenience services is non-refundable once the application form has been submitted, regardless of the outcome of the admission process.
- Where the school agrees to refund its portion of the fee, Vidyalo will facilitate the refund of that amount to the applicant after deducting the applicable processing or service fees.
5. Fraudulent Transactions
- If a payment is found to be fraudulent or unauthorized after processing, Vidyalo reserves the right to cancel the application and recover any applicable costs from the applicant, including bank or gateway charges.
6. Taxes
- All application fees are inclusive of applicable taxes unless otherwise specified.
- Where required by law, Vidyalo will collect and remit Goods and Services Tax (GST) or any other applicable taxes to the relevant government authority.
- Any taxes paid as part of the application fee are non-refundable, except where a refund is mandated under applicable tax laws.
- If a refund is approved, the refundable portion will be calculated after deducting applicable taxes, unless otherwise required by law.
7. How to Request a Refund
- All refund requests must be sent in writing to refund@vidyalo.com with:
- Payment reference/transaction ID
- Candidate name and application details
- Reason for refund request
- Refunds, if approved, will be processed within 45 days, depending on confirmation from the concerned school.
8. Force Majeure
- In case of natural calamities, pandemic outbreaks, or other force majeure events, Vidyalo will make reasonable efforts to process refunds if services were not rendered and the school agrees to the refund.
- In all other cases, the non-refundable policy will apply.
9. Final Decision
- All refund decisions taken by Vidyalo in consultation with the concerned school shall be final and binding.
10. Changes to this Policy
- Vidyalo reserves the right to modify, update, or amend this Refund & Cancellation Policy at any time to reflect changes in legal, regulatory, or operational requirements. The updated policy will be posted on our website with the “Last Updated” date. Applicants are encouraged to review the policy periodically. Any changes will apply to transactions made after the updated policy is published and will be effective from the defined date.
11. Acknowledgement
- By proceeding with the application and payment, the applicant confirms that they have read, understood, and agreed to this Refund & Cancellation Policy.
